About
Professional-track faculty reclassifications should be processed when:
- A professional-track faculty member's job duties have changed significantly and are therefore no longer consistent with the type of duties associated with their current job title (i.e., track change).
- The proposed title is a better fit for the professional-track faculty member's current responsibilities (i.e., title change).
Reclassifications can only be made within the faculty member's current rank and should not be used to try and bypass the promotion process (for example, faculty cannot be reclassified from an Assistant Professor of Instruction/Practice to an Associate Professor of Instruction/Practice). If the department is pursing reclassification for a faculty member who holds multiple faculty appointments in multiple departments, all of the appointments will need to be reclassified, since faculty cannot hold two different faculty titles simultaneously.
Track Change vs. Title Change
Track Change vs. Title Change
Faculty reclassifications are processed as either track changes or title changes. Track changes should be processed when the faculty is jumping from one track to another due to a change in duties, for example, an Assistant Professor of Instruction being reclassified into an Assistant Professor of Practice. Title changes should be processed when a faculty member is making a lateral move into a similar position, for example, Lecturer being reclassified into an Assistant Professor of Instruction.
Processing Title Changes (Lateral Reclassification)
Process
Faculty lateral reclassification requests (i.e., title changes) should be submitted by the department administrator as a Faculty Lateral Reclassification ServiceNow Form at least 30 days prior to the requested start date of the new appointment.
- In the section "Required Approval Routing," add the following:
- The Department Chair
- Dean's Staff: Jacquelin Llado (jl6538). This field is required in CNS.
- Dean or Dean Designate: Shardha Jogee (sj989)
Once the reclassification request has been final approved by the Provost’s Office, departments will process the reclassification in Workday as a job change BP (Job Change -> Faculty: Professional-Track Lateral). Include the required materials listed below as attachments to the BP. Please use the standard faculty appointment start dates as the effective date for the job change BP (8/16 for Fall semester; 1/1 for Spring semester).
Please review the Manage Professional-Track Faculty WPO for more information on processing lateral reclassifications in Workday.
Required Materials
The following materials are required for lateral reclassification approval:
- A request submitted via a Faculty Lateral Reclassification ServiceNow Form
Once the lateral reclassification is approved, departments will process a reclassification in Workday. Include the following as attachments to the job change BP:
- Copy of the approved Lateral Reclassification request from ServiceNow
- Faculty member's current CV
- Signed Reclassification offer letter
Processing Track Changes
Process
Departments should submit track changes to CNS Faculty Affairs for the college's review at least 30 days prior to the requested start date of the new appointment. If the Associate Dean for Faculty Affairs approves the track change, departments will issue the official track change offer letter to the candidate for their signature.
Accepted and signed offer letters should be sent to CNS Faculty Affairs for filing. The APS team will then push the new appointment into Workday.
Required Materials
The following materials are required for track changes:
- PAR for the proposed position. When creating the PAR, please note the following:
- Three new recommendation letters are required.
- A posting waiver and justification from the Department Chair is required. This replaces the EEO report and job posting.
- The language form should be marked as "on file."
- Reclassification Draft Offer Letter
