Booking Questions

When you are preparing to speak to a venue representative, review the general booking questions and the venue booking questions below. Be ready to ask all of the questions relevant for your event. You may want to start a spreadsheet to keep track of the answers if you are comparing several venues. This will enable you to compare all of your options with ease.

1. What is the venue's capacity? (For seated dinner? Standing-only reception? etc.)
2. What does the event area look like? Photos available? Walk-through available?
3. Is there a kitchen area for caterers? Can it accommodate cooking for ‘X’ amount of guests?
4. Does the venue offer catering, or is there a preferred catering list I must choose from?
5. Does the venue offer overnight stay for guests?—is there a discount?
6. Parking accommodations for guests & vendors? Cost?
7. Is the venue accessible for deliveries? At what times?
8. Are there storage spaces for event items?
9. Are any in-house A/V accommodations available? Cost?
10. Entertainment options available? Cost?
11. Vendor preferences for the venue?
12. Are different spaces for each part of the event available?
13. Will the venue be exclusive to the event?
14. What type of room set-ups are available?
15. Handicap accessibility?
16. Restroom accessibility and availability?
17. If outdoors, is there a rain back up?
18. Are there noise restrictions?
19. Is there a time limit for set up & tear down?
20. TABC license? Insurance?
21. Other events scheduled on the day of the event that might conflict?
